The printed agenda allows 90 minutes, 2.5 hours and 60 minutes respectively. Plan the actual calendar and preparation around the company’s needs while preserving all three acts. Share the relevant team reports and decisions; individual leadership feedback and private ownership work do not belong in every participant’s copy.

Prepare evidence before the conversation

Send the current Playbook and preliminary reports at least three business days ahead. Identify missing information and who must resolve it. Use monthly records to examine the quarter’s pattern, and review the Roadmap against the milestone evidence rather than scoring from memory.

Plan for three to five business days; earlier delivery counts when the information remains current.

Review each function’s capability and its leader’s development separately. The Functional OS Assessment, Leadership Readiness Assessment and owner’s Velocity Score answer different questions. A good quarter does not automatically raise all three.

Close the quarter and adopt the next plan

Explain what happened to the outgoing commitments before choosing the next One Thing. Test the proposed work against ownership goals, financial capacity, people and the annual direction. A supported choice to continue the same priority is valid.

The next Game Plan names the Roadmap priority, the day-90 result and three outcomes with evidence, responsibility and dates. Keep the adopted current plan in The Plan and the dated reflection and decisions in The Rhythm. Dated copies can accompany a meeting packet without becoming competing current plans.

Monthly meetings maintain the commitments. The annual reset reviews the longer direction and develops the coming budget; it does not make every quarterly meeting an annual rewrite. Milestone 8’s checklist defines installation, including two consecutive quarterly reviews and a maintained annual-planning schedule, responsibilities and next action. Record annual-reset completion separately and assess the approved budget in Milestone 11. A prepared packet alone is not that evidence.
